How do status reports and saved runs work?

The Status reports tab lists your templates and every report you have run; each run is saved exactly as it came out so you can download it again or turn it into an editable report.

A status report is built from a template: saved rules for which bills to include, the dates, what to show and the order. Building it is called a run. Every run is saved exactly as it came out, so you can come back to last month's report and download the same thing you sent then.

How to make a template is covered in the article on reports and templates.

The Status reports tab

Open Reports under Bill Tracking, then the Status reports tab. It has two lists.

Templates

Each template shows:

  • Its kind: Bill status or Hearing calendar.
  • Who sees it: Only you (a lock) or Shared with all staff.
  • Its date range, for example "Last week".
  • Last run with a date, or Not run yet.
  • Emailed on a schedule if it is sent by email. Click it to see the schedules.

The buttons beside each template are:

  • Run now: build the report now. It opens on its own page when it is ready.
  • Edit (or View if you cannot change it): open the template.
  • Delete: shown to people who can change the template. Reports already run from it are kept.

Recent reports

Every run you can see, newest first, with the report name, the dates it covers (for a hearing calendar, the meeting dates), how many bills, when it ran, and PDF, Word and CSV download links.

A run's page

Opening a run shows the report on screen, the date and time it ran and who ran it, with the note "saved as it was produced". From here you can:

  • Download it as PDF, Word or CSV.
  • Run again: build a new run from the same template with today's data. The old run is not changed.
  • Open as editable report: copy this run into a new curated report, where you can rewrite it, reorder bills and publish it. Sections become report sections and your positions and statements carry over. Only Owners and Editors can do this, and only for runs of a shared template. A private run shows "Share this template with your team to open a run as an editable report."

If the run was made by an email schedule, the page also says who it was sent to and when, and anyone it could not reach, with the reason.

Why runs are frozen

A run keeps the bills, the dates and every detail exactly as they were when it ran. Later changes to the bills, to your positions or to the template do not change it. To get an up-to-date version, choose Run again or Run now.

The dates are worked out on the day the report runs. For example, a template set to Last week covers a different week each Monday. Since the last run starts from the day of the template's previous run; for a template that has never run, it covers the last 7 days.

Runs are kept. Deleting a template does not delete its runs.

Who sees which runs

  • Runs of a shared template are listed for everyone on your staff.
  • Runs of a private template are seen only by the person who owns the template, the organization's Owner included.
  • Anyone who can see a template can run it.

Common questions

I ran a report and it has no bills. Nothing matched the conditions in the date range. Try a wider date range, or check the conditions in the template's Preview.

The run stopped with "More than 1,000 bills match". A report can list at most 1,000 bills. Narrow the conditions or the dates. See the article on file formats and limits.
