Who approves and sends alerts?
How alerts move from draft to review to sent, which role does each step, and how to schedule or cancel a send.
Only Owners can send an alert. Editors write alerts and submit them for an Owner to approve. This keeps a second set of eyes on everything that goes to your supporters.
Who can do what
| Step | Owner | Editor | Analyst | Viewer |
|---|---|---|---|---|
| Read alerts and their results | Yes | Yes | Yes | Yes |
| Write and edit drafts, send a test | Yes | Yes | No | No |
| Submit for review | Yes | Yes | No | No |
| Approve, reject, send, schedule, cancel | Yes | No | No | No |
The steps
1. Draft
Write the alert and click Save draft. On the Alerts list its status is Draft.
2. Submit for review (Editors)
Click Submit for review, either in the composer or on the alert's page. The alert gets an In review label, and the page says Submitted for review. An owner will be notified on the Activity board.
3. Approve or reject (Owners)
Owners find alerts waiting for them on the Activity page in the left navigation:
- In the Feed view, a card reads Drafted alert: followed by the subject, marked Needs review. Click Review to open it in the composer, or Approve & send to approve it and send it right away.
- In the Board view, the alert sits in the Needs your review column with Reject and Approve & send buttons.
Reject sends the alert back. It gets a Changes requested label and the alert's page tells the Editor to update it and submit again. A rejected alert cannot be sent or scheduled until it is submitted and approved again.
An Owner can also open a draft and send it directly, with or without a review.
4. Send
On the composer, an Owner clicks Send to followed by the number of recipients and confirms. On an alert's page, the button is Send Alert.
The alert moves through Queued and Sending to Sent. The audience is worked out at the moment it sends, so supporters who joined or unsubscribed since you wrote it are handled correctly. If no one matches, the send stops with No eligible recipients found.
Scheduling a send
- In the composer, click Schedule…
- In Schedule this alert, pick a date and time. It uses your computer's time zone and must be in the future.
- Click Schedule.
The alert shows Scheduled and its page says Scheduled for the date and time. From there an Owner can click Cancel Schedule to turn it back into a draft, or Send Now to send it immediately.
Stopping or retrying a send
- While an alert is Queued or Sending, an Owner can click Cancel Send. Emails that already went out cannot be called back, but the rest stop.
- If a send ends as Failed, an Owner can click Retry Send.
Demo organizations
A demo organization never sends email. Send, schedule and test are refused with the message "This is a demo organization. It never sends email, letters or webhooks."
If this does not solve it, email support@conservativestates.app and tell us your organization's name.
